Transaction Coordinator

A growing professional services firm is seeking a detail-oriented Transaction Coordinator to support the coordination of active projects and client opportunities. This role is responsible for preparing and maintaining online listings, managing incoming inquiries, coordinating communications, maintaining confidential information, and ensuring transactions move efficiently through the process.

The ideal candidate is organized, technology-savvy, communicates professionally, and is comfortable handling sensitive information. Initial training will be provided, with the expectation that the successful candidate will become confident working independently.

Primary Responsibilities

• Prepare and publish online listings using company software and third-party platforms.
• Maintain listing information and ensure all postings remain accurate and current.
• Utilize internal software systems to organize listings, documentation, and communications.
• Respond promptly and professionally to inquiries from prospective clients.
• Screen inquiries using established qualification guidelines.
• Coordinate follow-up communications and maintain accurate records of all activity.
• Handle confidential business information with professionalism and discretion.
• Maintain organized electronic files and documentation.
• Provide administrative support to ensure projects and transactions progress efficiently.
• Perform additional office coordination duties as assigned.

Qualifications

• Previous administrative, office, customer service, or coordinator experience preferred.
• Excellent written and verbal communication skills.
• Strong organizational skills and attention to detail.
• Comfortable learning and utilizing multiple software platforms.
• Proficiency with Microsoft Office (Word, Outlook, and Excel).
• Ability to prioritize multiple assignments while maintaining accuracy.
• High level of professionalism, discretion, and dependability.
• Ability to work independently after initial training.

Compensation

$20.00–$23.00 per hour, depending on experience and qualifications
